Last updated: 1 January 2026
This Privacy Policy explains how Lingua Carpathia LLC ("Lingua Carpathia", "we", "us", "our") collects, uses, discloses and protects your personal data when you visit our website at linguacarpathia.com or otherwise interact with us. We act as the data controller in relation to the personal data described below.
1. Who we are
Lingua Carpathia LLC is a translation and localisation company registered in Ukraine. Our registered office is at 14 Prospekt Svobody, Lviv 79008, Ukraine. For all privacy-related enquiries you may contact us at privacy@linguacarpathia.com.
2. What personal data we collect
We collect personal data in the following ways:
2.1 Data you provide to us directly
- Contact form data: when you submit our enquiry or quote request form we collect your full name, email address, subject line and the message you write. If your message contains additional personal information (for example, a description of a legal matter) this is also collected.
- Project files: if you share documents for translation purposes, those files may contain personal data relating to you or third parties. We process such data solely to provide the requested service.
- Email correspondence: if you contact us directly by email we collect the content of that communication and any personal data it contains.
2.2 Data collected automatically
- Technical data: IP address, browser type and version, device type, operating system, referring URL and pages visited on our site.
- Cookie and analytics data: where you have accepted cookies, aggregate analytics data about how visitors use our website. This does not identify you individually by default.
3. How we use your data
We use the personal data we collect for the following purposes:
- To respond to your enquiry, provide a translation quote, or deliver the translation service you have commissioned.
- To manage our contractual relationship with you and maintain records of projects and correspondence.
- To operate, secure, maintain and improve our website and services.
- To comply with applicable laws, regulations, court orders or legal obligations in Ukraine and, where relevant, the European Union.
- To send you service-related communications (e.g. project status updates), where you have requested them.
- To analyse aggregated, anonymised usage data to understand and improve our services.
4. Legal basis for processing
We rely on the following legal bases to process your personal data:
- Consent — when you submit our contact form and tick the consent checkbox, or when you accept non-essential cookies. You may withdraw consent at any time without affecting the lawfulness of processing carried out before withdrawal.
- Contract — to perform translation services you have engaged us to deliver.
- Legitimate interests — to operate and improve our website and services, to prevent fraud and ensure security, provided these interests are not overridden by your data protection rights.
- Legal obligation — where processing is necessary to comply with a legal obligation under Ukrainian or EU law.
5. Cookies
Our website uses two categories of cookies:
- Essential cookies: necessary for the website to function (e.g. remembering your cookie preference). These do not require consent.
- Analytics cookies: used to measure how visitors use our site, helping us to improve it. These are only set with your consent. You can accept or decline analytics cookies using the banner displayed on your first visit, and you can clear all cookies at any time in your browser settings.
6. Sharing your data
We do not sell, rent or trade your personal data to any third party. We may share your data in the following limited circumstances:
- Service providers: we use third-party providers for website hosting and analytics. These providers act as data processors on our behalf under written data processing agreements and may not use your data for their own purposes.
- Freelance translators: where a project requires a specialist freelance translator, we share only the documents and project details necessary for the translation. All freelancers sign confidentiality agreements before receiving any client material.
- Legal requirements: we may disclose your data to competent authorities where required by Ukrainian law or a valid court order.
7. Data retention
We retain personal data only for as long as necessary for the purposes described in this policy or as required by law:
- Contact form enquiries that do not lead to a project: up to 12 months.
- Project-related correspondence and files: up to 36 months after project completion, after which they are securely deleted unless a longer period is legally required.
- Financial and invoicing records: as required by Ukrainian accounting law (up to 7 years).
- Analytics data: retained in aggregated, non-identifiable form.
8. Your rights
You have the following rights in relation to your personal data:
- Right of access — to request a copy of the personal data we hold about you.
- Right to rectification — to have inaccurate data corrected.
- Right to erasure — to request deletion of your data, subject to legal retention obligations.
- Right to restriction — to request that we limit our processing of your data in certain circumstances.
- Right to data portability — to receive your data in a structured, machine-readable format.
- Right to object — to object to processing based on our legitimate interests.
- Right to withdraw consent — where processing is based on consent, to withdraw it at any time.
To exercise any of these rights, email privacy@linguacarpathia.com. We will respond within 30 days. For full details of your rights under the GDPR, see our GDPR & Data Protection page.
9. Security
We implement appropriate technical and organisational security measures to protect your personal data against unauthorised access, loss, destruction or alteration. These include encrypted file transfers, access controls and regular security reviews. No method of transmission over the internet is completely secure; we will notify you promptly in the event of a data breach that affects your rights.
10. International transfers
Our website is hosted on servers within the EEA. Where data is processed by service providers outside Ukraine or the EEA, we ensure adequate safeguards are in place in accordance with applicable data protection law, such as standard contractual clauses.
